Booking & Reservation Process
Is my booking confirmed when I check out?
No. Checkout submits a reservation request. Your event is confirmed only after Athena Productions reviews availability, staffing, and event details and sends confirmation.
How far in advance should I book?
As early as possible. Popular dates, especially weekends and summer events, can fill quickly. Requests with less than two weeks’ notice may be possible, but availability is not guaranteed.
What happens after I submit a request?
We review your request and follow up to confirm availability, clarify details if needed, and finalize your reservation.
Can I change my reservation after submitting?
Yes. Contact us as soon as possible and we will work with you to adjust your package or event details based on availability.
Rentals vs Event Service
What is the difference between a rental and event service?
Rentals are self-service: you pick up the equipment and operate it yourself. Event service includes delivery, setup, operation (if needed), and teardown.
How do I know which one I need?
Smaller and simpler events can often be handled as rentals. Larger events, outdoor setups, and projection systems typically require event service.
Do I need a technician to run the equipment?
Not always. Many packages are designed for self-operation. However, events with multiple microphones, live transitions, or higher complexity benefit from having a technician present.
Equipment & Setup
Is everything included in the package?
Packages include the core equipment needed for most events. Additional options, upgrades, and related services can be added at booking or during consultation.
Do I need power at my event?
Yes. Most equipment requires a standard electrical outlet. For outdoor or remote locations, a generator package may be required.
How much space do I need?
Space requirements vary by package. Sound systems need room for speakers and stands, while projection setups require distance between the screen and projector.
What if I’m not sure what I need?
That’s common. Start with the closest package and we’ll help refine the setup after reviewing your request.
Outdoor Events & Conditions
Can equipment be used outdoors?
Yes, but outdoor environments require additional planning. Wind, lighting, and power availability all affect setup.
Do outdoor movie events work during the day?
No. Projection systems require low ambient light. Outdoor movies are best scheduled after sunset.
Are there noise restrictions?
Many locations have local noise ordinances, especially in the evening. It is the event organizer’s responsibility to ensure compliance with local regulations.
What happens if the weather changes?
Weather can affect outdoor events. We will work with you on reasonable adjustments, but severe conditions may require rescheduling or changes to the setup.
Payment & Policies
How do I pay?
Payment is typically handled by check according to the terms of your confirmed reservation.
When is payment due?
Payment timing depends on the type of event and agreement. Details will be provided during confirmation.
Do you offer multi-day pricing?
Yes. Standard rental discounts apply automatically: a calendar week is billed as 3 days, and a calendar month as 9 days unless otherwise specified.
